GUIDELINES FOR PRESENTER

 

Posters Presenters

 

SIZE

- The maximum size for each individual is A1 Vertical

- Materials must be easily read at a distance of 1.5 m.

- A poster printed on one large sheet is encouraged.

- Hand written posters are not accepted.

 

LAYOUT

- Poster should have a logical organization. Most posters have sequential sections (e.g.

Background, Aim, Methods, Results, Conclusion). Use regions of empty space between poster elements to differentiate and accentuate these elements.

- Data should be clear, concise and well-organized. Avoid everything that can make your poster look excessively busy, such as boxes around graphs and tables, and long sentences.

- Limit the number of different fonts, different sizes of fonts and different colors.

 

TITLE

- Aim for a short title.

- Size of the letters should be at least 96 point.

- State authors and affiliations below the title, in a smaller font. Include mailing and e-mail addresses, telephone and fax numbers at the bottom of the poster. Grant sources supporting the study may also be included below the title or at the bottom

- Keep style consistent, in bold and in larger type than the text of the poster.

 

BODY TEXT

- The text is more digestible if it is split into logical sections interspersed with graphics.

- Use bullet lists where possible.

- Minimize the amount of written text. Text should never dominate the poster.

 

GRAPHICS

- Self-explanatory graphics should dominate the poster.

- Graphics should be understandable without need for a detailed description.

- Aim for simplicity, not complexity.

- Legends should inform about the content of the figures

 

TABLES

- Avoid large tables. Make a selection of the most important results.

- Legends should inform about the information in the table.

 

NO-SHOWS

- At least one of the authors must present during poster sessions in order to discuss the work being presented.

 

- If you are unable to present your poster, please make arrangements for one of your

co-authors to do so. Contact the conference secretariat regarding any changes in presenters.

 

MOUNTING AND DIMENSIONS

- All poster boards will be secured by Velcro

- Each participant will receive a board number during registration

 

SCHEDULING

Posters will stay up the entire conference and are expected to be mounted on a significant date for maximum visibility. Posters are to be removed on the last day, at end of the final poster session.

 

 

Oral Presenters

 

PRESENTATION LENGTH

- Each presentation will be allocated a 15 minute slot. Actual presentations are expected to run for 10 minutes leaving 5 minutes for questions.

- Timing will be strictly enforced and presenters should make sure that they do not talk for more than 10 minutes.

 

PRESENTATION FORMAT

- The preferred formats are Microsoft Power Point.

- Computer systems with Windows OS and Microsoft Office will be available and presenters are expected to use the conference system and not their own laptop to minimize setup time.

 

- If you want to use your own laptop, we will provide a VGA connection. If you are using an Apple computer you will need to a VGA connection (mini-display port to VGA or thunderbolt to VGA interface)

 

- Please make sure you show up at least 15 minutes prior to your session and upload your presentation to our laptop and make sure it works. In case you have to use your own laptop you need to test in advance that your laptop works. Also identify yourselves with your session chairs.

 

-We suggest bringing a copy of all the files including movies on multiple media formats (e.g. CD and/or USB key). Please use standard codecs for video to minimize risks of playing issues during presentation on the conference computer system
